An hourly driver request should describe the whole assignment, not only the minutes the car is moving. State when the driver should report, the vehicle, stops, expected waiting and final release point. Then ask the provider what its actual hourly booking, minimum, extension and expense terms are. The purpose of an hourly arrangement is a defined window, such as an appointment and return or several local stops. It may be a poor description for a journey with an unpredictable finish or overnight travel. This guide helps a Kolkata household prepare a request that can be quoted; it does not guarantee that every duty length is available in every location.

Identify the first and last events

Begin with the time and place where the driver should report to an authorised person, not the time of the first appointment across town. End with the point at which the car and keys are handed back and the driver is released. The difference between those events is the proposed duty window. Ask the provider how its quote treats reporting, waiting, travel between stops and final return.

For example, a family wants to leave home at 9:00 a.m. but needs the driver to review the vehicle handover at 8:45. If the car returns at 1:00 p.m. and the handover finishes at 1:10, the requested assignment is not simply the four hours between departure and arrival. The provider may quote in blocks or apply another rule; record that rule rather than converting minutes into a charge on your own.

The driver waiting-time worksheet records what happened after a booking. This guide comes earlier: it helps choose a realistic initial window and ask how uncertainty will be priced. A short period can still include considerable waiting, so a distance-only estimate is insufficient.

Choose the pattern that matches the day

List the journeys before asking for a number of hours. An appointment may require the driver to remain nearby, or the parties may agree that the driver leaves and returns for collection. The second plan needs a reliable callback and a separate price explanation. An errand sequence with several stops needs the order, parking expectations and person who can authorise a change.

Decide how much buffer to request

Look at ordinary variation in the day: passenger readiness, parking access, time at each stop and the final return. Add a reasonable planning buffer to the requested window, then ask what happens if it is not used. Some providers may quote fixed blocks; others may use a different basis. Do not promise yourself a refund for finishing early or assume an extension will always be available.

If one event has no credible finish time, say so. A provider can then propose a booking structure with an extension process or explain that the requested arrangement is unsuitable. A guessed finish may look cheaper in an initial message but is harder to manage when the actual day runs long.

Ask for the complete hourly terms

The quote should identify the role, vehicle assumption, service area, period, minimum or block size if any, hourly or extension basis, waiting treatment, expenses and cancellation rule. Ask when an extension request must be made and who confirms it. Also ask whether parking, fuel, tolls and the driver's travel to or from the assignment are included, excluded or separately reimbursed.

One message can make the comparison clear: “This is my own car; please quote for reporting at Joka at 8:45 a.m., an appointment in south Kolkata, likely waiting, and return/release by about 1:15 p.m. Please state what happens if the appointment ends an hour late.” The example is fictional and does not assert availability or a price. The area is useful to the provider, but the full home address can wait until the recipient and purpose are confirmed.

Prepare a safe vehicle handover

Name the person authorised to provide the keys. Share the car type and transmission in advance and raise any fault, warning or access issue with the owner and provider before duty begins. The vehicle handover checklist records the agreed condition, keys and permitted use. Do not ask a driver to resolve a mechanical fault by assumption or to accept an unagreed vehicle substitution.

Ask who has completed relevant identity and licence checks and how any unresolved item will be handled. If a different driver is proposed late, reconfirm the person and terms. A message that a driver is “available” is not a complete accepted booking until the actual assignment, checks and quote are clear.

A fictional change during the assignment

A household has agreed a morning appointment trip in its own car. At noon, the passenger learns the appointment will take longer. The coordinator contacts the provider before the planned release time, asks whether the same driver can stay and requests the quoted extension terms. The provider's answer is recorded with the revised expected finish. If the extension cannot be supported, the household plans another return arrangement instead of directing the driver to remain indefinitely.

At the end, the car and keys are returned and any agreed expenses are checked against the actual record.
