A journey brief brings the destination, pickup point, timing, passenger needs and approval contact into one short record. Share only what the driver needs for the trip and confirm the return plan separately. It is especially useful when several family members arrange travel, because a single agreed brief reduces conflicting messages and last-minute assumptions.

Make the pickup easy to identify

An address alone may not tell the driver which gate to use or where a passenger can wait comfortably. Add a clear meeting description and a landmark when useful. For an appointment, separate the time the passenger needs to arrive from the time the driver should report. Allow the family and driver to discuss practical travel time rather than promising an exact arrival.

Keep one current version

If the destination changes, send a clear replacement message with the date and time of the update. Avoid a long thread where an old gate number appears beside a new one. Ask the receiving person to confirm the essentials in their own words if there is any uncertainty.

Do not include a patient's diagnosis or a child's full daily routine when a simple pickup instruction will do. For a trip involving assistance, state exactly what help is expected and check whether a companion is needed. Driving and personal care are different responsibilities. At the end, record any extra stop, revised return time or expense approval so the next journey can be planned with better information.

Confirm the requested duty line by line

Record which version the provider has accepted. An acknowledgement that a message arrived is not necessarily confirmation of scope or price.
