Ending a Trial Arrangement Respectfully

Close an unsuitable caregiver trial respectfully with a checklist for agreed payment, returned belongings, access and final acknowledgement.

Use the worksheet for your own planning. Keep personal details in your own copy.

If an introductory care or home-support arrangement does not suit the household, close it with a clear decision and a factual handover. Tell the worker or provider what will stop, when it stops, how agreed time will be settled and how keys or other entrusted items will be returned. Share only the feedback needed to explain the decision. A trial is an assessment of a particular arrangement, not a public judgement about a person.

Check what was actually agreed

Find the message, quote or form that set the trial date, hours, payment and any cancellation terms. The care requirement brief may show the original duties; it does not replace the agreed booking terms. If the visit has already happened, distinguish payment due for accepted work from any separate question about future visits. If something is disputed, record the facts and ask the provider to explain its policy rather than imposing a deduction or promising a refund.

Ask the person receiving help whether they want to stop, change the timing or try a different type of support. Let them describe ordinary preferences without pressuring them to justify discomfort. If the decision relates to an urgent safety or conduct concern, use the provider's appropriate escalation route and relevant authorities as needed; this worksheet is for administrative closure, not investigation.

Copy the closure sheet

Item Decision or record Person to confirm
Trial reference [date, address, provider contact] [family contact]
Last agreed service time [start and finish; whether any further visit is cancelled] [provider and household]
Reason shared externally [brief factual fit issue, if useful and consented] [recipient or authorised family contact]
Completed time and agreed charge [hours, rate or quoted total; extras questioned separately] [provider]
Belongings and supplies [whose item, where returned, acknowledgement] [item owner]
Access [key, card or building instruction returned or revoked] [household contact]
Private records [who retains necessary booking records; who removes copies] [authorised record owner]
Final acknowledgement [message date and any unresolved point] [both sides]

Do not put an account number, health detail or an accusation in a broad WhatsApp group. If a key was issued, arrange a traceable return rather than assuming a verbal promise is enough. If the worker used only visitor entry, note that no key was issued. Do not demand that a person surrender their own belongings as a condition of payment.

Give feedback that helps without overclaiming

Describe a task or arrangement that did not fit: “We need a later visit window and this time was not available” is more useful than a broad personal label. If instructions were unclear or the household changed its request mid-visit, include that context. Ask the worker or provider whether any factual part of the record is inaccurate. A decision to stop can stand without a long debate, while still allowing a fair settlement of agreed work.

A fictional Kolkata family booked one introductory afternoon for non-clinical companionship. The older parent appreciated the conversation but does not want recurring visits. The family sends a short message the same day declining future bookings. The provider confirms the agreed trial charge; the family pays the undisputed amount and asks for an explanation of one separately listed travel item. There was no key, so the access row records “none issued.” The next enquiry, if any, starts from the parent's current wishes rather than automatically repeating the same plan.

Close the loop before another booking

Keep a copy of the final message, payment acknowledgement and return record with the booking, not in a public review or neighbourhood group. Tell anyone who expected the worker tomorrow that the plan has changed, without sharing private feedback. If a replacement is needed, use a new care requirement brief or shift schedule that reflects the revised hours and duties. Do not assume a provider has accepted the next request until it confirms the arrangement.

This form makes the closure decision concrete; it does not determine contractual or employment rights. For a fresh Kolkata home-support enquiry, call +91 98041 26771 or WhatsApp Anjali with the actual role, address and proposed hours. Ask for the specific quotation and booking terms that apply.
